Privacy notice
Last updated 21 October 2026.
This notice explains how Quantro Civil Estimating Pty Ltd (ABN 81 703 228 791), trading as Quantro, collects, uses and looks after personal information. We follow the Australian Privacy Principles.
What we collect
When you request an estimate or contact us, we collect:
- your name, company, email address and phone number
- details of your project, including its name, location and, if you tell us, who the work is for
- the documents you send us, such as drawings, specifications and bills of quantities
- any plant, labour or supply rates you choose to give us
- anything else you write in the form or in an email
Your documents may contain other people's names or contact details, such as a consultant's details on a drawing. We use that information only as part of the document.
When you visit the website, we collect anonymous usage statistics through Cloudflare Web Analytics, which does not use cookies or identify you. Our spam check, Cloudflare Turnstile, looks at signals from your browser to tell people from automated bots. Neither is used for advertising.
Why we collect it
We use your information to:
- check the scope of your project and send you a fee proposal
- prepare and deliver your estimate and any other work you engage us for
- invoice you and keep business records
- respond to your questions
- keep our pricing rates current, using anonymised data only (see below)
We don't sell personal information, and we don't add you to a marketing list.
Anonymised pricing data
When you engage us, we keep anonymised pricing data from the job, such as quantities, production rates and unit rates, including any rates you supply. Anonymised means nothing in it identifies you, your company or your project. We use it only to keep our own rates current, and we never show it to another client. Rates from enquiries that don't go ahead are not kept.
Who we share it with
We use trusted service providers to run the business:
- Microsoft 365, for email and document storage
- Cloudflare, to host the website and receive uploaded documents
- Xero, for quotes and invoicing
- automation and AI tools that help us organise documents and prepare estimates
We may also share information with our professional advisers, such as our accountant or lawyer, or where the law requires it.
Storage outside Australia
Your documents and emails are stored in Microsoft 365 in Australia. Some of our providers, including Cloudflare, Xero and our AI tools, may store or process information outside Australia, including in the United States. We choose providers with strong security and contractual privacy protections.
Automated decisions
We use software, including AI tools, to help review documents and prepare estimates. Every estimate is reviewed by a person before it is issued. We don't use automated systems to make decisions about you.
Security
We store information in access-controlled systems with multi-factor sign-in, and limit access to the people working on your job. Uploaded documents are encrypted in transit. If a data breach is likely to cause you serious harm, we will tell you and explain what we are doing about it.
How long we keep it
- Documents you send us, whether or not you engage us: deleted after 2 years.
- Engaged jobs: business and tax records, such as fee proposals, invoices and issued estimates, kept for 7 years.
Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing [email protected]. We will respond within 30 days.
